What Are WHS Safety Documents?

WHS documents are the operational building blocks of a compliant safety system. They cover everything from how hazards are identified and risks are assessed, to how incidents are investigated, workers are inducted, and equipment is maintained. Together, they demonstrate that safety is being actively managed — which is both a legal obligation and increasingly a commercial requirement for winning and keeping work.

WHS documents typically fall into four categories:

Policies establish your business's commitment and position on specific safety matters — things like drug and alcohol use, manual handling, PPE requirements, or subcontractor management. They set the rules.

Procedures explain how those policies are put into practice. A procedure gives workers and auditors a clear, step-by-step process for completing tasks safely and in compliance with legislative requirements.

Forms and checklists are the working documents used on the ground — hazard report forms, worker induction checklists, toolbox talk records, plant & equipment checklists, and so on. They create the paper trail that shows your system is actually being used, not just sitting on a shelf.

Registers track ongoing obligations — legal compliance, site inductions, subcontractors, training records, incidents, and corrective actions. They're essential for audits, management reviews, and demonstrating due diligence.
